At Kats Gardens, we understand that your privacy is very important to you. That’s why we are committed to protecting and respecting the privacy of all users of ours.Our Privacy Policy, which is set out below, explains what information and personal data we may collect from you, as well as how we may use or share any information that we have collected or you have provided to us. Please note that we are only describing our own practices here, which apply to all websites that we own and operate and to all services that we provide.
When using our website, you are agreeing to the practices described below. For the purpose of the Data Protection Act 2018 (the Act), the data controller is Kats Gardens.As I develop a relationship with my clients and prospective clients, I need to assess their specific design requests for their gardens. To do this, I need to understand the key decision makers for the project – what type of service they will require, when they will need it and what are their contact details.
In order for us to do this, we need to capture the following data and information:
- Garden location
- Email address
- Contact telephone numbers
- How the garden will be used and by whom?
All of the data is stored in a cloud database on Google Sheets, which are encrypted and password protected. The data is kept for differing lengths of time depending on several different factors, such as whether we were successful in securing the business, whether we lost the business (some potential clients never respond to our original quotes), whether we have secured a long term maintenance contract and if we have secured the business, we need to stay in contact after the project has been completed to communicate on such subjects as:
- Feedback and recommendations
- Official photos
- Maintenance support
- Advice
The data storage time lengths are as follows:
Business lost (clear communication from the client) – one month after the date of communication
Business outcome uncertain (no response from client after quote issued) – six months after the date of communication
Business secured (deposit received) – six months after the date of communication
Maintenance Support – for as long as the contract remains in place
We keep the data for the business lost or uncertain outcomes, as clients do change their minds, especially if their chosen supplier fails to deliver or lets them down.
We do not share personal data with other organisations.
Any communications are for direct business only, once we understand that there is a particular business opportunity.
